Vanguard Group of Investment Companies Financial Services Company, Valley Forge, PA
Project involved evaluation and re-organization of materials encompassing internal and external documents serving Chief Executive Office and staff responsible for fund performance analysis. Information collection had accumulated over 15 years without formal filing structure or index. Inventoried items, analyzed retrieval requirements, developed retention schedule and specified retrieval database. Developed bar code system for item location.
Implemented all of the recommendations made in the project report. Recruited assistance with implementation activities and converted all holdings to new system. Provided project management services for change-over.
Calculated the amount of storage needed for the collection in Vanguard's new building, and specified the quantity and configuration for mobile shelving for the architect and storage shelving vendor. Developed the moving plan for the records, packed all boxes for the move, unpacked and shelved records at the new location. Trained collection manager to maintain the revamped repository.
